Responsibilities include:
1.Monitoring and managing the Deputy Director's email inbox, responding where appropriate and making decisions about bringing emails to his attention for information or for action
2.Diary management, managing changes and conflicts, negotiating and working with others as necessary
3.Supporting in the arranging of business meetings, conferences and away days ensuring that key attendees are available and that meeting papers/itineraries are complete, printed and distributed in a timely fashion.
4.Organising travel arrangements, including itinerary planning, flights, rail, car hire, hotel and other accommodation and managing expense claims as appropriate
5.Ensuring all expense claims are dealt with appropriately, and authorise other expenses as agreed with the Deputy Director
6.Accurately creating and managing documents based upon drafts supplied by senior managers
7.Providing other business support to the wider team as necessary, including undertaking short self-contained assignments as required
8.Supporting a range of management boards and meetings, through providing a secretariat function, that will include note taking
9.Developing and maintaining close working relationships with Divisional PAs within the Directorate (and cross-Directorate) and with other key contacts in supporting and related functions in the office and with external stakeholders.
10.Other ad-hoc administrative tasks as required
