We are currently recruiting for an Invoice Processing Clerk to join a well-established growing business based in Stoke on Trent.
You will be directly employed working within the Finance department and reporting to the Credit Control Manager.
You will be working closely with and supporting our credit controllers and Invoice co-ordinators on a daily basis.


Full Job Description
* Invoice Entry on Client Portals
Your primary responsibility will be to accurately enter vendor invoices into various client-specific online portals. This includes uploading invoice documents, inputting required data fields, selecting correct project, cost code, or account information, and ensuring each invoice complies with individual client submission guidelines. Attention to formatting, required attachments, and portal-specific rules is essential to prevent rejections or payment delays.
* Invoice Verification
You will carefully review all invoices prior to submission to confirm accuracy and completeness. This includes validating invoice dates, invoice numbers, vendor names, billing addresses, line-item descriptions, quantities, and amounts. You will ensure calculations are correct and that invoices align with approved pricing, terms, and tax requirements.
* Matching Invoices to Purchase Orders or Contracts
When required, you will match invoices to corresponding purchase orders. This involves confirming that billed amounts, quantities, and services align with authorized documentation. Any variances between invoices and purchase orders or contracts must be identified and reviewed before submission.
* Timely Submission & Deadline Management
You are responsible for ensuring all invoices are submitted within required timelines to meet client payment cycles and contractual deadlines supporting invoicing coordinators and credit controllers as required.
