Duties and Responsibilities
*Assist with the production of timely and accurate information reports as and when required, including running background reports for monthly workforce reports
*Export, collate and manipulate data in Excel spreadsheets, including analysing and presenting accurate data in an appropriate format that is understanding to its audience
*Run various workforce reports for other internal customers (for example internal managers, the wider Workforce, or to answer Freedom of Information requests)
*Identify and respond to potential data anomalies in reports and identify where corrective action may be required.
*Supporting managers and employees in the day-to-day functionality of Electronic Staff Records and supporting and producing a wide range of workforce data for the wider workforce.
*To support managers with processing information in a timely manner, including clarifying any ambiguous or missing information, auditing and checking to ensure the relevant authorisation is in place
*To assist in monitoring and improve data quality in ESR, including correcting data inaccuracies on the system identified by the national data warehouse and regular data cleansing process
*To ensure all right to work visa and passport documentation are processed promptly and accurately using the Trust's workforce information systems, reporting to employees and managers as and when visas are about to expire.
*To assist in maintenance of accurate work structures within workforce information systems including setting up and updating positions
*To ensure that the standard operating procedures, templates, checklists etc that exist for all processes and systems are fully used in all activities undertaken, where necessary contribute to the reviewing and updating of operational procedures in relation to ESR and workforce information
*Maintain effective communication channels and working relationships with finance, external payroll/pensions, Recruitment Team
*Run standard reports from workforce information systems using pre-agreed parameters on a regular basis and pass to the appropriate person for action
*To assist in general administration duties in the Workforce and OD Department.
*Pro-actively support the system security of ESR including the allocation of the ESR User Responsibility Profiles, setting up temporary/honorary staff, issuing user login details and resetting passwords.
*GCSE level or equivalent
Skills and Experience
*Experience of working with Microsoft Excel to an Intermediate / Advanced level,
*be able to present workforce information to a variety of audiences in a simple and meaningful way and the ability to deliver a comprehensive administrative support service
*Excellent IT skills, including proficiency in Microsoft Word, Microsoft PowerPoint and Outlook Mail applications, together with experience that demonstrates.
*Ideally have ESR experience (or an Oracle based similar system), you will contribute to ensuring effective and efficient workforce data management
