1.To provide robust coordination services to the IAS, being able to triangulate several sources of information and data to ensure the Referral to Treatment Targets are adhered to.
2.Be responsible for organising and managing the IAS team workload in relation to assessment waiting lists and support functions and assisting the prioritisation of workload to ensure Government targets are met and the National Autism Framework is followed.
3.Manage, organise and maintain an effective referrals system for the IAS service, entering details correctly onto the database as well as WPAS.
4.Designated Lead in Powys on the implementation and maintenance of WCCIS and Spectrum Star.
5.Responsible for all appointments, referral and panel meetings, resolving conflicting diary appointments and scheduling diary times effectively, knowing the whereabouts of the team members at all times.
6.Respond to all queries into the office in a timely and professional manner, initiating actions and follow ups and reporting progress as appropriate, using judgement to ensure that messages and actions are prioritised and brought to the attention of the appropriate member of the IAS Team with any supporting information.
7.Manage all incoming correspondence for the IAS. Deal autonomously with routine items and action reminders as appropriate or instructed.
8.To respond to correspondence as directed, typing, drafting replies where necessary, copy typing, audio typing of clinical reports, some of which contain sensitive information.
9.Responsible for efficient, functional and up to date filing and electronic filing systems, including setting up, maintaining and running of an efficient 'brought forward' system whereby documentation can be retrieved promptly.
10.Organise meetings, IAS Groups, appointments and referrals as appropriate, book venues, equipment and refreshments; co-ordinate attendance. Tracking correspondence and monitoring follow up actions.
11.Knowledge of electronic patient information system, to include WPAS and WCCIS. Utilise the electronic patient information systems to ensure the accurate recording of information.
12.Responsible for the completion and collation of statistical information relating to IAS activity and disseminating to relevant stakeholders and Welsh Government ensuring deadlines are met.
13.Manage elements of projects such as local and national audits to ensure deadlines are being met.
14.To be the single point of contact (both internal and external) ensuring that they are directed to the appropriate person within the IAS and wider partnerships.
15.Act as a single point of contact for the public and ensure enquiries and any problems that may arise are dealt with efficiently and promptly. Identifying sensitive and confidential issues and ensuring they are handled in an appropriate manner.
16.Use of internet/intranet to retrieve information.
17.Photocopying correspondence and forwarding, where necessary, to the relevant department.
18.Extract electronic files and notes and place in detailed agendas in preparation for referral and outcome and MDT panel meetings.
19.Ensure that all stock and stationery supplies are maintained and that any goods ordered are within budgetary constraints and reflect value for money including input to Oracle as per PTHB procedures. Actively participate in movement towards 'green' office.
20.Responsible for disseminating national and local information relating to Autistic Spectrum Conditions across all partners in Powys.
21.Prioritise own workload with good time management and excellent organisational skills where necessary when working to project deadlines.
22.Maintain a high standard of confidentiality when dealing with delicate, sensitive cases, patient information, complaints, grievances and critical incidents.
23.Responsible for the provision of comprehensive support to the IAS Assessment Team in dealing with diary management, day-to-day enquiries and general correspondence.
24.Responsible for the development, management and analysis of the IAS Assessment database to formulate data and produce reports for submission to Welsh Government, Regional Partnership Boards and Senior Management Team. i.e. waiting times, waiting lists, referral to treatment timescales, diagnosis to support etc.
25.Responsible for the provision of comprehensive support to the IAS support staff in dealing with diary management, day to day enquiries and general correspondence. Management and analysis of the IAS Support database to formulate data and produce reports for submission to Welsh Government, Regional Partnership Boards and Senior Management Team i.e. waiting times, waiting lists, referral to support timescales, support to discharge timescales etc.
26.Responsible for analysing return rates (self-referrals) of clients with a diagnosis and previous history of receiving support from the IAS.
27.Provide single point of contact and deal with enquiries from members of the public, including those who may be irate and distressed, and be of a complex and sensitive nature, who have concerns regarding the delivery of autism services in Powys.
28.The post holder will have to use own judgement and skills to defuse a difficult situation accordingly once interpreting information to provide an appropriate solution or information.
29.The post holder will be required to overcome communication barriers using their autism experience.
30.To propose and update the development changes to IAS monitoring data systems protocols and procedures for own area of work.
